Pastor Job Description The church administrative assistant is responsible for performing the secretarial and financial secretarial duties of the church.
They are often the first voice and face guests interact with when being introduced to Senoia UMC.
General Responsibilities Keep regular office hours to manage phone calls/messages, assist visitors, and handle salespeople.
Assist Pastor with clerical tasks.
Receive and distribute incoming mail.
Care for and maintain church office equipment and contracts (computers, copier, etc.
) Keep all staff informed of pastoral care needs such as deaths, hospitalizations, etc.
Updated pray list as needed.
Manage information cards from Sunday worship (visitor cards, contribution records, etc.
) Prepare newsletter, bulletins, membership communications, and meeting notices.
Coordinate and oversee all mailings; maintain bulk mail account.
Keep church calendar updated and distributed in bulletin, newsletter, and on website.
Update membership database (Realm) with current contact information, committee roles, birthday list, etc.
for all members transferring in/out, joining, dying, etc.
Collect meal reservations and coordinate with Hospitality Team for Wednesday Night Suppers and special events.
File correspondence and other assigned materials.
Notify committee members of meetings as requested.
Assist church leaders (Sunday School teachers, Board and Team Chairs) with information, copies, ordering materials as requested.
Coordinate baptismal services with Pastor.
Attend occasional church events or meetings as determined by Pastor.
Maintain social media sites and website under direction of Pastor.
Take on new duties as determined by Leadership Board and Pastor.
Financial Responsibilities Maintains individual records of weekly giving.
Sends individual contribution summaries quarterly.
Maintain files on memorials and other special gifts.
Send notification cards for memorial gifts.
Organizes a team of volunteers to count, record, categorize and deposit donations collected during Sunday Services and other functions.
Publishes a duty schedule for the volunteers and provides the counting teams with weekly deposit forms and accounting paperwork to provide donors with quarterly and annual tax receipts.
Provides the Church Treasurer with donation information so that funds can be deposited in the appropriate accounts and categories.
This includes donations that are submitted through Vanco, an electronic fund transfer system.
Does a monthly reconciliation and audit of the General Fund, ensuring the bank statement and Treasurer's accounting statement are in agreement and sends out updates.
Publishes monthly financial information to the congregation via the Sunday bulletin as provided by Treasurer.
Works with the Church Treasurer to ensure deadlines for special offering programs.
First screening on the use and rental of Church facilities to be passed on to Leadership Board for discernment.
